Privacy Policy

TruePayroll Global is a payroll bureau platform operated by CapriTech Global Services Pvt. Ltd., Mumbai, India. Accounting firms use it to process payroll on behalf of their employer clients.

For platform account data (firm and platform users) we determine how the data is used. For employee payroll data we act as a service provider: we process it on behalf of the employer, on the instructions of the employer and its accounting firm, and only to deliver the Service.

• Account data: name, work email, role, authenticator (MFA) enrollment status and sign-in records of provisioned users.
• Company data: the employer's legal name, employer identification details, addresses and bank funding details.
• Employee payroll data (processed on behalf of employers): identity and contact details, Social Security number / taxpayer identification number, compensation, hours, deductions and benefits, tax withholding elections, bank account details for direct deposit, and pay history including pay stubs.
• Usage and audit data: actions taken in the application, timestamps, IP address and device information, kept for security and audit purposes.

We use personal data solely to deliver the payroll service: calculating wages and taxes, moving funds where live money movement has been activated, generating pay stubs, reports and filings, providing support, billing accounting firms, and keeping the platform secure and auditable.

We do not sell personal data, and we do not use payroll data for advertising, marketing or profiling.

• All traffic to and from the Service is encrypted in transit.
• Social Security numbers and bank account numbers are envelope-encrypted at rest using managed keys, and are masked everywhere they appear in the interface, in API responses and in logs (for example, ***-**-1234).
• Access is restricted by role, multi-factor authentication is mandatory for firm and platform staff, and sensitive actions are recorded in an append-only audit trail.
• Payroll funds are handled on banking rails separate from our operating accounts and from fee billing.

We share personal data only as needed to deliver the Service, with providers acting under contract:

• banking and ACH partners, to execute employer funding and employee direct deposits;
• tax calculation and tax filing providers;
• the billing processor that handles fees charged to accounting firms;
• cloud infrastructure providers that host the Service.

We may also disclose data where required by law or to protect the Service, its users or the public. We never sell personal data and never share it with data brokers or advertisers.

We retain personal data for as long as the relevant account or service relationship is active and thereafter as needed to meet payroll and tax record-keeping obligations, which can require multi-year retention. Employee payroll records are retained in line with the employer's instructions and applicable law. When data is no longer required, we delete or de-identify it.

Depending on where you live, you may have rights to access, correct or delete personal data about you. If you are an employee whose payroll is processed through the Service, please direct requests to your employer or its accounting firm — they control your payroll records, and we support them in responding.

We may update this Privacy Policy from time to time. We will post the revised version with its updated date and notify firm administrators of material changes. The latest version always applies.
